Arctic Air Supply – Returns & Refund Policy
Because HVAC equipment is large freight-shipped equipment, returns and exchanges are subject to manufacturer and distributor approval.
Returns
Due to the nature of HVAC equipment and freight shipping requirements, returns are not automatically accepted and must be approved in advance.
Products may be eligible for return only if:
• the item is unused
• the item remains in its original packaging
• the return request is submitted within a reasonable time after delivery
• the manufacturer or distributor approves the return
Approved returns may be subject to restocking fees, return freight charges, and other applicable costs determined by the manufacturer or distributor.
Equipment should not be refused or returned without prior authorization from Arctic Air Supply. Unauthorized returns will not be accepted.

Freight Damage or Shipping Issues
Because HVAC equipment ships via freight carriers, customers must inspect the shipment at the time of delivery.
If the shipment arrives damaged:
• the damage must be noted on the delivery receipt before signing
• photographs of the damage should be taken if possible
• Arctic Air Supply should be contacted immediately
Failure to note freight damage at delivery may affect the ability to file a damage claim with the carrier.
Once damage is reported, Arctic Air Supply will coordinate with the manufacturer or distributor to resolve the issue and arrange replacement equipment if necessary.
Incorrect Items
If you receive an incorrect product, please contact us immediately so we can coordinate with the distributor to correct the order.
Exchanges
Exchanges are handled on a case-by-case basis and may require a return authorization from the manufacturer or distributor.
Refunds
If a return is approved and processed, refunds will be issued to the original payment method once the returned equipment has been received and inspected by the manufacturer or distributor.
Processing times may vary depending on the distributor and financial institution.
